Booking Conditions & Terms of Service

The contractual framework governing bespoke itinerary design, deposit schedules, private charter logistics, and mutual commitments.

Effective Date: October 12, 2026·Version: v3.4 (Institutional)· Fiduciary & Regulatory Verified

Executive Fiduciary Summary

Every Wanderly journey is an individually commissioned masterpiece. These Terms define our 20% commitment deposit schedule, 60-day balance settlement, force majeure protocols for private yachts and aviation, and mandatory international travel insurance policies.

1. Luxury Deposit & Balance Settlement Schedule

Due to the exclusive nature of private villas, chartered superyachts, and limited high-alpine permits, reservations require firm advance commitments:

Initial Commitment

20% Deposit

Due immediately upon sign-off of your bespoke itinerary proposal. Secures private aviation slots, villa holds, and dedicated expedition leads. Non-refundable.

Final Settlement

80% Balance

Due strictly 60 days prior to departure. For itineraries confirmed within 60 days of departure, 100% full balance is required upon booking.

Accepted payment pathways: Tier-1 SWIFT / Bank Wire into our segregated Client Trust Account, or encrypted credit card processing via PCI-DSS Level 1 tokenization.

2. Force Majeure & Itinerary Modifications

Ultra-luxury travel occasionally encounters environmental or geopolitical realities requiring immediate tactical adjustments:

  • Weather & Marine Protocols: In the event of adverse sea conditions affecting private yacht charters or high-altitude mountain weather impeding helicopter transfers, our Senior Travel Designer team will deploy pre-contracted VIP ground or alternate luxury retreat substitutes.
  • Unforeseen Government Actions: Airspace closures, sovereign dignitary requisitions, or border amendments constitute Force Majeure events.
  • Substitute Luxury Guarantee: If a scheduled property or charter becomes unavailable, Wanderly guarantees substitute accommodations of equal or superior standard (Relais & Châteaux, Aman, or equivalent luxury tier).

3. Mandatory Comprehensive Traveler Insurance

Strict Condition of Carriage:

All guests traveling on Wanderly journeys must hold valid comprehensive luxury travel insurance covering international medical evacuation (minimum $500,000 USD), private aviation repatriation, trip cancellation, and extreme sports/expedition activities where applicable.

Proof of policy coverage must be submitted to the Concierge Desk no later than 14 days prior to departure. Wanderly disclaims financial liability for medical evacuations where adequate traveler insurance was waived.

4. Cancellation & Rescheduling Terms

Cancellations must be communicated in writing to concierge@wanderly.com:

  • More than 60 Days Prior: Initial 20% deposit retained; any excess prepayments returned, less non-recoverable supplier disbursements.
  • 59 to 30 Days Prior: 50% of total journey price retained.
  • Less than 30 Days Prior: 100% of total journey price retained due to firm unrecoverable charter and estate lock-ins.

Rescheduling requests are accommodated wherever feasible, subject to property rebooking fees and seasonal rate differentials.

5. Dispute Resolution & Governing Jurisdiction

These Booking Conditions are governed by the laws of England and Wales (or the chosen operational jurisdiction stipulated in your signed Master Booking Agreement).

Prior to commencing formal litigation or arbitration, parties agree to submit any unresolved grievance to confidential executive mediation conducted under the rules of the Chartered Institute of Arbitrators (CIArb) in London, UK.
